**Job Title: Legal Support Specialist**
**About the Role:**
We are seeking a highly skilled and detail-oriented Legal Support Specialist to join our team. In this role, you will provide comprehensive support to our attorneys, ensuring the smooth operation of our legal processes. Your responsibilities will include conducting legal research, drafting legal documents, and managing various administrative tasks. We are looking for someone who can maintain a positive relationship with clients, attorneys, and staff while upholding the confidentiality of our firm and our clients.
**Key Responsibilities:**
- Conduct thorough research to find relevant legal information, including judicial decisions, statutes, and legal articles.
- Prepare and draft correspondence, pleadings, complaints, subpoenas, and other legal documents.
- Demonstrate proficiency in our firm's software, including document management systems, time and billing software, and Microsoft Office products.
- Handle electronic filing with the court system, ensuring adherence to established rules and procedures.
- Stay familiar with firm forms, legal document formats, and online legal research sites.
- Perform legal research using various resources, including libraries and computer databases.
- Understand and follow internal firm procedures for check processing, travel reimbursement, and marketing reimbursement requests.
- Review documents for accuracy, checking for errors in grammar, spelling, punctuation, formatting, and legal citations.
- Manage the firm's telephone system, including handling incoming calls, transferring calls, and utilizing the conference call system.
- Draft and type complaints, answers, discovery documents, affidavits, motions, and petitions.
- Organize and maintain trial notebooks, document indexes, and expert witness materials.
- Conduct research to locate cases, depositions, opinions, reports, and social media information related to legal matters.
- Utilize computerized litigation techniques and software as needed.
- Maintain a calendar and deadline reminder system, and assist with scheduling meetings and depositions.
- Collaborate with administrative support staff and proofread documents returned from other departments or vendors.
- Ensure timely and accurate entry of time sheets into the time and billing system.
**Working Conditions:**
You will work in a normal first-class law office environment. This position offers flexibility, with options for remote, hybrid, or in-office work.
**Requirements:**
- Proficiency in reading and writing to proofread and edit law office correspondence and legal documents.
- Ability to perform basic arithmetic calculations and maintain accurate records and filing systems.
- Minimum of 3-5 years of paralegal experience to understand law office policies and procedures.
- Strong organizational skills to prioritize tasks and meet deadlines.
- Excellent proofreading skills to catch grammatical, typographical, and spelling errors.
- Effective interpersonal skills to communicate with clients, attorneys, and staff.
- Ability to work extended hours when necessary to fulfill job responsibilities.
**Physical Needs:**
- Ability to sit for extended periods, with occasional bending, stooping, stretching, and lifting up to 30 lbs.
- Good eye-hand coordination and manual dexterity to operate office equipment.
- Normal range of hearing and eyesight to prepare and communicate reports.
