Description

The Workplace Services team is dedicated to creating and managing offices that enable employees to perform at their best. These spaces are designed to be inclusive, inspiring, and functional, removing any physical barriers that might hinder productivity. As part of this team, you’ll play a hands-on role in ensuring that the office environment is efficient, organized, and welcoming for both employees and guests.

About the Role

We are seeking a Facilities Coordinator to oversee operations for the Tempe, AZ office and support the rapidly growing Phoenix team across two office locations. Reporting to the Senior Office Manager, this role requires a proactive approach, multitasking skills, and a commitment to going above and beyond. Exceptional communication and resourcefulness are key, as is the ability to work effectively with a diverse range of people.

Key Details

  • Location: Tempe, AZ
  • Schedule: Monday to Friday, 8 AM–5 PM, onsite 5 days a week.
  • Collaboration: Work alongside another coordinator on the team.

Responsibilities

  • Serve as the face of the office, providing vendor management, navigating operational challenges, and supporting peers with office operations.
  • Plan and organize office events.
  • Act as an ambassador for the Workplace Services team, ensuring comfortable and functional workspaces for all employees.
  • Manage the "ins and outs" of a dynamic and fast-paced office environment.
  • Conduct regular walkthroughs to inspect and maintain office equipment, public areas, and common spaces.
  • Utilize ticketing systems like JIRA to manage service, repair, and maintenance requests, resolving issues promptly or escalating as needed.
  • Oversee setup and teardown of meeting, training, and multipurpose spaces.
  • Handle mail and package collection, sorting, and delivery.
  • Monitor and address office needs, including furniture, supplies, and pertinent repairs or maintenance.
  • Support office and team relocations from planning to execution.
  • Maintain organized inventory and storage solutions.
  • Travel between office locations as required and perform tasks involving physical activity, such as lifting or moving items up to 50 lbs.
  • Execute additional projects and tasks as assigned.

Qualifications

  • Minimum 1 year of experience in facilities coordination, project management, or events management.
  • Strong organizational skills with experience using G Suite.
  • Familiarity with ticketing systems; JIRA experience is a plus.
  • Excellent communication skills, both written and verbal.
  • A customer-focused mindset with a drive to exceed employee and guest expectations.
